Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Responsible for assisting in administering the Bureau’s FleetFocus M5 system which houses all historical and current details of the Commonwealth’s Automotive Fleet. Employee assists the M5 Division Manager with current and future M5 development projects, learns to analyze data and trends, troubleshoots, and gains independence as the technical point of contact for all M5 issues. Serves as a liaison between the Bureau of Vehicle Management and various state agencies on monthly commute usage entry issues.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Gains independence in researching troubleshooting and resolving system problems.

Acts as first point of contact for day-to-day requests including password lockouts, new user additions to M5, M5 error receiving and either handles or forwards to best resource to resolve issue.

Research, aides in implementation, and tests system upgrades. Assists in evaluating, identifying, and reporting system upgrade problems prior to system rollouts to production.

Responsible for updating the Monthly Commute Usage Entry Tracking database. Activities include preparing monthly database for tracking the current month’s entries, purging last month’s data, importing this month’s data from prewritten Crystal Reports, running and distributing various reports to end consumers, tracking errors, and other activities related to tracking commute usage entry.

Develops basic Crystal Reports and Access Reports such as general fleet reports, etc. to satisfy customer needs.

Learns to develop, conduct, and coordinate system training on an as-needed basis.

Helps to develop and maintain work methods, policies, procedures and end user manuals.

Customizes, defines job responsibilities, and tailors menu structure within the application to accommodate the Bureau’s specific needs. Learns job functions of M5 users, determines appropriate system access, and implements into M5 system.

Monitors system functionality and provides recommendations of future interface requirements in consultation with supervisor.

Independently communicates with OA IT and Assetworks IT support regarding M5 user issues and serves as a consultant on all matters concerning the M5 system to M5 users.

Research inquiries and provides responses to Right-to-Know requests, the Press, and Legislative and upper management pertaining to the bureau’s responsibilities associated with the Commonwealth’s Automotive Fleet.

Performs related work as required.

Identifies development needs for BVM; tests system in M5’s testing platform and determines when the system is ready to move forward to production stage for go live, troubleshoots and resolves problems; determines security needs based on job functions. Determines best approach for providing requested reports/data to end-customers.

Experience:

1. 2 years’ experience working with fleet data base
2. 2 years of Knowledge working with Crystal Reports
3. 2 years experience working with Access Reports.
