Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Maintain and update files located in the Southwest Regional Office.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Maintains and updates case, subject, monitoring, stream, and litigation files for the Bureau of Clean Water Management.

Maintains and updates case, plan, hazardous waste, and general files for the Bureau of Solid Waste Management.

Maintains and updates permit files.

Prepares case file material for microfilming. This involves arranging documents into format established by Central Office. Forwards prepped file to Central Office.

Maintains and updates aperture card file.

Locates documents from any of the above files for technical staff upon request.

Files strip mine applications - determines the public review period - provides information to the public regarding applications.

Operates microfiche readers/printers.

Scans documents and follows SOP (Standard Operating Procedure) for categorizing, naming and locations for said documents.

Operates Xerox copier for technical staff.

Acts as back-up for: maintaining the technical reference library, preparing maps to be sent out for aperture cards, and back-up for regional mail/copy person, regional receptionist and other file clerks.

Other related clerical duties as required.
Receive requests and plan for public to review file material. Determine if requests are consistent with Department public information policy.

Incumbent will acquire knowledge of Agency and Commonwealth policies and procedures, as well as the ability to organize and use independent judgment to meet priorities and establish day-to-day deadlines. Work schedules and priorities are subject to change often, due to external influences and time frame constraints.

Assists with activities of records management, receptionist and mailroom staff including:

1) Maintain coverage of all activities during vacancies and absences.
2) Distribute file materials to Records staff to balance workload.
3) Perform spot check of telephone messages, outgoing mail and filing activities, and correct problems, when necessary.
4) Install postage meter update PROMS.
5) Order supplies and DGS booklets through print shop.


Assist with all formal “Right to Know” requests including:

1) Determine whether requests received by office meets formal requirements of “Right to Know” request.
2) If determined a formal process is necessary, coordinate activities with legal staff, technical staff and management.
3) Assure timeframes established by law are met.
4) Determines if information requested is considered restricted and not subject to public review
5) Follow up with technical and supervisory staff to assure all documents necessary to conduct review have been provided.
